Suitable for: Staff, trustees, volunteers and beginners responsible for collections

In this session we will focus on the Spectrum procedures and processes involved in assessing and documenting new acquisitions. This includes due diligence, provenance, decision-making and capturing written evidence of transfer of title.

By the end of the session, participants will:

  • Understand which Spectrum procedures are most relevant to ownership and how they might fit together.
  • Understand the role of the Spectrum standard in relation to museum Accreditation.
  • Know where to find more information and guidance.

Before the session:

  • Think about how you do things in your museum, referring to your relevant policy and procedures if you have access to them. You might also find it useful to have these with you to refer to during the session.
  • Please ensure that you have a working microphone, so you can participate in discussions.

What is the Getting Your House In Order Training Programme?

Good collections documentation is the key to a smooth-running museum service, ensuring that any museum collection is accountable and manageable in practice. The training will model best practice and through the framework of Spectrum 5.0 and its procedures bring a focus on the planning and work involved to get your collections documentation in good order.

There will be six training sessions delivered online, which are open to staff, board members, trustees and volunteers from museums in the south and east of England which are Accredited or formally working towards Accreditation. You are welcome to attend any or all of the sessions as you wish, and we will be offering additional support for museums that attend at least 3 sessions and who identify a clear support need.

The ‘Getting Your House in Order’ sessions are not just for museums who are facing Accreditation application deadlines, but they act as a great refresher for teams wanting to improve their documentation standards, and we hope that they will serve as a reminder of why this work is so necessary.

121 Support

If a museum is represented on at least 3 of the training sessions they will be eligible to request a free 1.5 hour 121 online support session with one of the Collection Trust Outreach team with up to 2 of your team members. Availability cannot be guaranteed, and will be agreed with each regional representative.

These sessions should be used to discuss a particular collections management issue which we will ask you to provide context for in advance of the session.

A short advisory report will be produced and shared with the team members involved and their local Museum Development Officer to enable them to support the museum to the best of their ability.

An introduction to Spectrum: 23rd June, 10-12

This session will offer an introduction to the Spectrum standard and will put into context the Spectrum procedures covered in the other workshops in this programme. We will discuss how a Spectrum 5.0 procedure works and how it might be applied within an organisation.

Location & Movement Control: 15th September, 10-12

In this session we will focus on the Spectrum procedures and processes involved in recording and managing the location and movement of objects. This includes systematic record-keeping, accountability, preparation, risk assessment, and maintenance of information.

Inventory: 20th October, 10-12

This session will explore the potential steps involved, and things to consider, when undertaking an Inventory project, using the Spectrum 5.0 Inventory procedure as a framework.

Dealing with objects with uncertain ownership: 17th November, 10-12

In a joint session with Collections Trust and Janet Ulph, Professor of Commercial Law at the University of Leicester, we will look at the legal and ethical issues of dealing with objects you may not own (e.g., historic loans, uncollected objects, objects with no paper trail etc.) and objects with conditions attached.

Manuals & Documentation Histories: 15th December, 10-12

This session will explore the benefits of manuals within your museum. We will then focus on the advantages of recording the history of your documentation systems within these manuals. For example: have you captured key information about historic cataloguing systems, old numbering systems and policies?

By booking a place on to SHARE Museums East Training Programme, you are agreeing to the following terms and conditions:

  • That you are from an East of England museum which is in Arts Council England’s Museum Accreditation Scheme. Where this is not applicable you acknowledge that SHARE will facilitate your attendance if availability permits and that your organisation will pay any fees which may apply.
  • It is a condition of receiving this ACE funded training that the online evaluation sent to the email address provided at the point of booking is completed by the specified deadline. This deadline is in the email notification unless a paper evaluation is specifically requested and submitted on the day of the training session.
  • By booking a place you agree that you are booking as a representative of your organisation and should you cancel your booking without sufficient notice your organisation is responsible for paying the late cancellation fee of £50.
